A LITTLE GUIDANCE GOES A LONG WAY

How to write an ATS-friendly resume in 2026

A useful resume helps a recruiter understand what you can do, where you have done it, and why your experience fits an opening. Applicant tracking systems, often called ATS, help employers organise applications. A simple layout makes your document easier to read and copy, but no template can promise that every system will parse it perfectly or that an employer will shortlist you. Use this free CV outline builder to organise your information first, then review the final document against the actual job description.

1. Start with one clear target role

Choose a role before you start writing. A resume for a sales executive should highlight different evidence from one for an accounts assistant or a software developer. Read the responsibilities, required skills and experience in the vacancy. Note the requirements you genuinely meet. Put the target role under your name and make your summary relevant to that direction. If you apply to different kinds of jobs, create a separate version for each group rather than putting every possible career goal into one introduction.

2. Keep your contact details easy to find

Include your name, current city, a working phone number and an email address that you check regularly. Add a LinkedIn or portfolio URL when it supports your application. Check the spelling of your email and every digit of your phone number before downloading. A full residential address, identity document number, bank information, religion and family details are generally unnecessary for an initial professional introduction. Share additional information only through an employer’s appropriate process when it is needed.

3. Write a summary that says something concrete

Two to four focused sentences are usually enough for an outline. Introduce your relevant experience or education, the work you can perform, and the strengths you can demonstrate. Replace phrases such as “hardworking individual seeking a challenging opportunity” with useful information. For example, a graduate can mention coursework, a practical project and the tools used. An experienced professional can explain the kind of customers, processes or products they have supported. Do not copy the sample achievements from this tool into your own resume unless they are true for you.

4. Use skills from the job description honestly

List the tools, technical skills and practical capabilities you can discuss in an interview. Use recognisable names: Microsoft Excel, lead qualification, GST reconciliation or Python can communicate more than a vague label such as “computer knowledge.” Where an employer uses a specific term that accurately describes your experience, use that term naturally. Avoid repeating keywords without context or listing tools you have never used. A focused set of relevant skills is more helpful than a long catalogue that hides your strongest capabilities.

5. Turn responsibilities into evidence

For each role, include your title, employer and dates. Follow these with short descriptions of your contribution. A useful sentence explains an action, the context and the result. If you have a verified number, include it with its time period or baseline. If you do not have a reliable metric, describe the scope of your work or a practical improvement. Do not invent percentages to make a bullet sound impressive. A recruiter may ask you to explain how a result was measured and what you personally contributed.

6. Build a fresher resume around real work

A fresher resume format for India can put education, projects, internships and relevant skills ahead of a long employment section. Explain what you built, researched, organised or improved. A college project becomes more useful when you describe your role, the tools you used and the outcome. Volunteering and positions of responsibility can also demonstrate teamwork or coordination. Label academic projects clearly so they are not confused with paid employment. Explore our fresher career pages for ideas about the work different entry-level roles involve.

7. Give a sales resume the right context

For a sales resume template, identify the product or service, customer segment, territory and sales process you know. Mention relevant CRM tools and your involvement in prospecting, qualification, follow-up, negotiation or account management. Where you can support the figures, explain targets, conversions or revenue outcomes with a clear period. Avoid disclosing confidential customer information. If you are changing industries, show the transferable parts of your experience instead of suggesting that you already know a market you have not worked in.

8. Keep the layout predictable

This outline uses familiar headings and a single reading order. Use consistent dates and clear section titles such as Summary, Skills, Experience and Education. Avoid putting essential information into decorative charts, icons or images. Before submitting, copy text from your final file into a plain text editor and check whether the order is understandable. Follow the vacancy’s file format instructions: a text outline is a drafting aid, and some employers may specifically request a PDF or a word-processing document.

9. Review the PDF before you send it

Use Print / Save PDF to open your browser’s print dialog, select Save as PDF, and review the preview. Turn off browser headers and footers if they add a URL or date. Check page breaks, contact details, spelling and empty headings. Your content may need more than one page; keep it relevant rather than shrinking the text until it becomes difficult to read. Open the exported document once more before attaching it. Name it clearly, such as Firstname-Lastname-Resume.pdf.

10. Make the outline part of your application process

A resume is one part of applying well. Keep track of roles, tailor your introduction and prepare examples that support the statements you make. Our recruiter interview questions guide can help you practise explaining those examples. When you are ready, share your candidate profile with Hire Route or explore current opportunities. Registration allows our team to understand your goals; it does not guarantee an interview, a placement or an offer.
